My 3-Phase Collaborative Design Process

This process is the foundation of every project I take on. It provides structure, clarity, and flow—while leaving plenty of room for creativity, flexibility, and fun.

While every project follows these core phases, no two are exactly alike. Each project has its own pace, energy, and evolution. This is a collaborative journey, and your feedback, insight, and ideas are not only welcome—they're essential. You're investing in a visual identity that represents you & your book, and that means your voice matters every step of the way.

A digital moodboard with two sections labeled "Client Moodboard Submission" and "Designer Interpretation & Curated Mood Board." The first section contains images of horses, character illustrations, and various text comments, with some images tagged with names like Brenna, Keene, and Carey. The second section features fantasy-themed artwork including horses, mythical creatures, landscapes, and a character portrait labeled "AETHERA."

Phase One: Setting the Scene

Every project is unique—whether it’s a book, a brand, or a one-of-a-kind illustration—each package is tailored to fit your vision and goals.

  • Choose your services — Add to cart the pieces you’d like to combine: book covers, author branding, illustrations, merch, or marketing assets.

  • Bundle & save — Multiple selections automatically receive a discount at checkout.

  • Secure your spot — A 50% deposit reserves your place on my schedule and officially kicks off the creative process.

Once your spot is secured, we’ll begin building the foundation of your project together.

  • You’ll receive access to a collaborative Miro board where you can upload anything that captures your vision: vibes, reference covers, sketches, character notes, or worldbuilding details.

  • I’ll add curated imagery, early creative directions, and visual inspiration to help guide the design process.

  • Together, we’ll refine the tone, look, and feel until your project begins to take shape as something uniquely yours.

This phase sets the stage for everything ahead—ensuring your design feels deeply connected to your story before we move into the next steps.

Storyboard with three scenes: First scene shows four people riding horses in a mountainous landscape. Second scene depicts a person kneeling with black hair surrounded by flames and lava. Third scene features a dragon in an icy setting. Adjacent to the storyboard are rough draft images of a person with flames and lava, a woman with tied-back hair, cracked earth with lava, and a person with fire magic, along with a color palette and a fiery background.

Phase Two: Design & Refinement

With our direction set, I’ll begin drafting initial concepts—rough sketches and early layouts that form the framework of your design. These will be loose and unpolished, so it’s important to look past the roughness and focus on the bigger picture. This is where we shape the vision together.

You’ll receive:

  • Early concepts that lay out the foundation of your design

  • Space to be as specific as you’d like with feedback—or give me full creative freedom

  • Ongoing collaboration as we explore changes, whether that means shifting colors, adjusting layouts, refining illustrations, or reworking details

This phase is where ideas transform into something that feels like it truly belongs to you—refined, intentional, and uniquely yours.

Collage of images promoting the book 'Fire Magic: The Death Gate Trilogy' by Leona Urbanksky, including book cover designs, a T-shirt with the book cover, a stack of books, a pair of glasses on the book, a desk lamp illuminating the book, and the book displayed on a dark table with a plant. The designs feature a volcano and a fiery scene, with a central illustration of a woman with dark hair, a fierce expression, and swirling smoke or magic around her.

Phase Three: Finalization & Delivery

Once we’ve finalized your concepts and your remaining 50% balance is received, we’ll schedule a video call to review everything together and confirm it’s exactly how you want it.

After approval, I’ll prepare all of your deliverables—whether that’s book covers, illustrations, logos, merchandise designs, or digital graphics—making sure every element is polished, cohesive, and ready to use.

You’ll receive:

  • Final files prepared for print, digital use, and promotion (PDF, PNG, JPG, etc.)

  • A completed package within your Miro board, with all approved designs organized and easy to access

  • Core brand assets you may need—like color codes, font pairings, and style details—so your visuals stay consistent across every platform

  • Any additional content or assets included in your selected package

This phase ensures you leave with everything you need to launch your project into the world—confident, prepared, and supported by design that feels unmistakably yours.

What Creators Are Saying

“Alex is so amazing at what she does. She knows how to listen to you, be creative, and see your vision all the way to the end! She has my loyalty and I wouldn’t ever want to go to anyone else!”

Camden Baldwin

Black five-star rating graphic with a red gift box decorated with a bow on top.

“Working with Alex was an absolute game-changer for my brand, PyfPoint Racing. She created the logo, designed custom graphics, and helped select a cohesive color palette that truly brought everything to life. As someone who isn’t very artistically inclined, it was a huge relief to have someone so talented and knowledgeable lead the way. Her confidence, professionalism, and creative direction made the entire process smooth and stress-free. I couldn’t be happier with the final result—and I wouldn’t hesitate to recommend her to anyone looking to build a strong, visually impactful brand.”

Matthew Pyfer

“Alex was so easy to work with and was eager to accept feedback when I wanted to make changes to her initial drafts.  She even came up with a catchy slogan for my company that perfectly encapsulated my purpose.  So excited with my results!!”

  • Not at all. Whether you're just getting started or refining an existing brand, we’ll meet you where you’re at. I’ve worked with clients launching from scratch and others rebranding after years of growth. Either way, the goal is to give you clarity, cohesion, and confidence.

  • Yes! I make it simple and flexible. A 50% deposit reserves your spot in my calendar, with the remaining 50% due when your final files are delivered. At checkout, you also have the option to use Klarna, which allows you to split your payments into smaller, manageable installments.

This way, you can secure your project while spreading out payments in the way that works best for you — without sacrificing focus, quality, or timelines.

  • Timelines vary based on the scope, but most branding projects take 2–4 weeks from start to finish. I’ll give you a clear timeline once we chat and kick things off.

  • Item description
  • Rush projects are available for an additional +20% rush fee, depending on my schedule availability.
Please mention any rush requests during your consultation so we can discuss feasibility and timelines.

  • While each package is structured for clarity, they aren’t one-size-fits-all. During your discovery call, we can adjust things—whether that means swapping deliverables, adding extra assets, or tailoring the scope to better fit your goals. I’ll offer recommendations based on your vision, and any changes will be invoiced separately.

Need something down the road? You can request additional services for up to 18 months after your project wraps—whether it’s a content refresh, new templates, merch design, or a website update. No need to start from scratch—just reach out when you’re ready.

  • It depends on the situation! If you already have a logo or brand elements that you want to keep unchanged, feel free to reach out and we can chat about how (or if) I can build on them. I’ll always make sure we’re working within the proper usage and ownership guidelines.
