My 3-Phase Collaborative Design Process

This process is the foundation of every author project I take on. It provides structure, clarity, and flow—while leaving plenty of room for creativity, flexibility, and storytelling magic.

While every project follows these core phases, no two are exactly alike. Each book I work on has its own pace, energy, and evolution. This is a collaborative journey, and your insight, imagination, and ideas are not only welcome—they’re essential. You’re investing in a visual identity that captures your story’s soul, and that means your voice matters every step of the way.

Phase One: Setting the Scene

We begin by building the visual foundation for your story’s world — the tone, mood, and unique details that will shape every piece of design we create.

  • Once your package is booked and your deposit is paid, you’ll receive a welcome email with your intro materials, and a link to your collaborative Miro board.

  • On the Miro board, you’ll add anything that captures the essence of your book — character references, setting inspirations, quotes or excerpts, color palettes, or images that convey the mood.

  • I’ll bring my own visual research and ideas to the board, blending your vision with professional design insight.

Together, we’ll explore:

  • Your book’s tone, atmosphere, and visual identity

  • Key elements to highlight (characters, settings, themes, or symbols)

  • Cover and illustration styles that align with your genre and audience

  • Any additional assets from your package, like merch designs or marketing graphics

This stage is where we align on the creative direction so that every design choice reflects your story — not just beautifully, but intentionally. Once we’re both in sync, we’ll be ready to move into concept creation in Phase Two.

Phase Two: Bringing Your Story to Life!

With our direction set, I’ll begin crafting your first round of concepts — rough sketches and early layouts that form the skeleton of your design.

  • You’ll have access to your evolving Miro board to watch the process unfold and share feedback at any stage

  • Early concepts will be loose and unpolished, so focus on the overall vision rather than final details

  • This is the stage to request creative changes — from shifting colors and lighting to adjusting composition or character details

  • We’ll collaborate closely, refining and experimenting until the design truly feels like your book brought to life

This is where your story’s visuals start to shine — creative, collaborative, and designed to capture the heart of your world.

Phase Three: Finalization & Delivery

Once we’ve agreed on the concepts to move forward with, you’ll receive an invoice for the remaining 50% of your project fee. After payment is complete, you’ll book your 40-minute Zoom call with me. This session is where we’ll review every detail together, confirm the final direction, and make sure everything feels aligned before moving into the finishing touches.

From there, I’ll polish your final artwork and lock in all brand elements so everything is consistent — colors, typography, and design details. Once the final designs are approved, we’ll begin collaborating on your included social media graphics, templates, or branded content (depending on your package) to ensure every platform matches your new look.

When this phase is complete, you’ll receive:

  • All final files in the formats you need for print, digital, and promotion

  • A neatly organized folder of brand assets

  • Any included social media graphics, templates, or additional materials from your package

By the end, you’ll have a fully polished, ready-to-use brand that’s aligned with your vision and ready to launch confidently across every platform.

✺ Frequently asked questions ✺

  • I do offer a split payment option. You’ll pay 50% upfront to reserve your spot in my calendar and the remaining 50% when your final files are ready for delivery. This gives you time to pay while still ensuring your project gets my full creative focus and attention from day one. It also helps me stay organized, deliver on time, and give every client—including you—the dedicated experience they deserve.

  • Timelines vary based on the package you choose and the level of detail in the artwork. Most book cover and character art projects take 4–10 weeks from start to finish. I’ll provide you with a clear, personalized timeline once we’ve discussed your project and kicked things off.

  • Yes — for final designs only. Once your final payment is made, you’ll have full rights to use the final artwork for your intended purpose (book covers, promotional materials, etc.). I retain the copyright, which allows me to display the work in my portfolio or marketing unless we agree otherwise in writing.

    If you’d like to share concept art publicly, that’s totally fine — just please credit me as the artist and note that concepts can’t be used for other purposes, edited, or taken to another designer.

  • Yes — if my schedule allows, I can take on rush projects for an additional +20% rush fee. This can help fast-track your book cover or character art so you can meet your launch date or event deadline.

    Please reach out before booking to confirm availability, unless you’re happy to move forward with the normal project timeline if my schedule is full.

  • It depends on the situation! If you already have cover art, branding, or visual elements you’d like to keep, I can often build on them—provided you have the rights and proper usage permissions. Reach out with the files and details, and I’ll let you know how (or if) we can incorporate them seamlessly into your new design.

  • Minor adjustments after final delivery can usually be made for a small fee, and I try to make all graphics as editable as possible so they can be updated as needed. Major revisions or new artwork requests will require a separate booking.

    Any significant changes should be brought up during Phase Two of the process — this is when we refine the vision together and it’s easiest to make adjustments. We can also revisit unused concept work from your project later on, so if you loved multiple concepts during the design stage, we can use those for future packages or projects.
